Who we are
Amberhold is a trading name of Andrew Cassels, a sole trader based in England. We are the controller for the information described here.
You can reach us at hello@amberhold.com. We have not appointed a Data Protection Officer; on the size and nature of what we do, one is not required.
What this notice covers
This notice is about people who contact us — through the enquiry form or by email.
It does not cover what happens inside the Amberhold product when your employer uses it. There, your employer decides what is recorded and why, and we act on their instructions. If you are an operator asking about your own round records, ask your employer — and we help them answer you.
What we collect
When you use the enquiry form we ask for your name and work email address. You can also tell us your company or site, your role, what your rounds run on today, what you are after, and anything else you want to say in a free-text box. Only the first two are required.
“A demo” is pre-selected under what you are after, so a value is sent even if you never touch it. We also record a reference number, whether our notification email was delivered, and the date and time you got in touch.
Why we use it
To reply to you, and to have the conversation you asked for. Nothing else. We do not add you to a mailing list.
Our lawful basis is legitimate interests — ours in answering a business enquiry, and yours in getting a reply.
Who else handles it
- Google — hosts the site, receives the form, and stores the enquiry in London.
- Plus Five Five, Inc., trading as Resend (USA) — sends us the notification email.
- Microsoft — our mailbox, where that notification arrives.
These are the parties that receive your enquiry. Each of them engages their own suppliers; ask us and we will tell you who they are.
Sending your enquiry outside the UK
Our email provider is Plus Five Five, Inc., based in San Francisco. When we are notified of your enquiry a copy — including anything you typed in the message box — is sent to and stored in the United States.
That transfer is covered by the EU Standard Contractual Clauses as amended by the UK Addendum.
This provider does not offer UK or EU storage. If you would rather not use the form, email us directly at hello@amberhold.com — though our mailbox is a Microsoft service.
How long we keep it
Your enquiry rests in three places and each behaves differently, so here is each:
- Our database — deleted automatically 24 months after you contact us.
- Our mailbox — removed from the inbox after 10 days and fully cleared within about two months.
- Our email provider — holds a copy for 30 days, then deletes it on their own schedule. We cannot remove it sooner ourselves; if you need that, ask and we will request it from them.
Your rights
Depending on the circumstances, you may have the right to ask us for a copy of the information we hold about you, to have it corrected or erased, to restrict how we use it, or to have it transferred elsewhere. Which of these apply depends on why we are holding it. Ask at hello@amberhold.com and we will respond within one month.
Tell us and we will stop unless we have compelling grounds to continue.
If you ask us to delete your enquiry we will remove it from our database and our mailbox. The copy held by our email provider is on their 30-day schedule and we cannot delete it ourselves — we can ask them to, and we will. We would rather tell you that than imply a control we do not have.
If you are unhappy with how we have handled your information you can complain to the Information Commissioner's Office at ico.org.uk, or call 0303 123 1113. You can complain to us first, but you don't have to.
Measuring visits
We use Cloudflare Web Analytics to count page views. It sets no cookies, stores nothing on your device, and we cannot identify you from it.
We use no advertising trackers, no session recording and no third-party fonts.
